5. Third-Party Services and Online Tools
To deliver our online consultation booking, free enquiry form, and AI-assisted chat support, we engage the following third-party processors. Each processor is bound by their own privacy terms and processes data on our behalf under written agreements consistent with the Australian Privacy Principles and, where applicable, the EU GDPR. Data may be processed outside Australia (primarily in the United States and globally via CDN edge nodes).
- Calendly — paid consultation scheduling. When you book a 30-minute paid consultation, your name, email, and selected time slot are processed by Calendly Inc. (USA). See calendly.com/privacy.
- Cloudflare Turnstile — bot protection for the free enquiry form. Cloudflare receives a privacy-preserving challenge token (no IP-based fingerprint by default). See cloudflare.com/privacypolicy.
- Cloudflare R2 object storage — attachments you upload through the free enquiry form (passport scans, supporting documents). Files are stored under randomly generated, unguessable URL paths (capability-based access). We apply a retention lifecycle that automatically deletes attachments after 90 days unless you become a client and we transfer the files into our active case file under MARA Code retention rules (Section 8).
- Resend — transactional email delivery used to notify our operations team when a free enquiry is submitted. Resend (USA) processes the email payload (your enquiry text + attachment links) solely to deliver the email. See resend.com/legal/privacy-policy.
- Anthropic Claude (AI chat assistant) — the in-page chat widget uses Anthropic's Claude model to answer general visa questions, grounded in our published articles. Messages you type into the chat are sent to Anthropic (USA) for processing in real time. Per Anthropic's API terms, inputs and outputs are not used to train Anthropic's models. Chat history is stored locally in your browser (localStorage) and is not transmitted to us beyond what is required to generate each reply. Do not submit sensitive personal information, passport details, or case-identifying data through the chat widget — please use the free enquiry form or book a consultation instead. 6. Data Security and Retention
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. Your information is stored securely in encrypted systems and access is restricted to authorised personnel only. Free-enquiry attachments are deleted from object storage after 90 days unless transferred into an active client file. Client case files are retained for a minimum of 7 years as required by the MARA Code (Section 8).
7. Your Rights
You have the right to access, correct, or request deletion of your personal information. You may also lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we have mishandled your data. 8. MARA Compliance
As MARA-registered migration agents, we are bound by the Code of Conduct for registered migration agents, which includes obligations regarding the handling and protection of client information. We retain client files for a minimum of 7 years as required by the Code.
